Olanka Cashback Promotion – Terms and Conditions
1. Definitions
In these Terms:
Booking Window means 16 November 2025 – 16 February 2026 (inclusive), during which Eligible Bookings must be made.
Cashback means a discount applied to the final tour invoice for the Tour Component only, as set out in clause 6.
Eligible Booking means a booking for an eligible tour with the Promoter made within the Booking Window for travel within the Travel Period.
Eligible Traveller means a natural person aged 18 years or over who meets clause 3.
Excluded Charges include flights, airline taxes, carrier charges, visas, insurance, merchant/FX fees, tips and optional extras not forming part of the Tour Component.
Force Majeure Event means any event or circumstance beyond the reasonable control of the Promoter or its suppliers that prevents or materially hinders performance, including acts of God, extreme weather, fire, flood, earthquake, natural disaster, epidemic or public health emergency, war, invasion, terrorism, civil unrest, strikes or industrial action, labour or material shortages, failure or insolvency of suppliers, utility or internet outage, cyber incident, transport or airline disruption, government action, sanctions, embargoes, border/port closures, and any law, advisory or restriction issued by a government agency or regulator.
Participating Event means Lankan Fest 2025 and any associated Promoter online activation for the Promotion.
Promo Code means a unique code issued by the Promoter under this Promotion.
Promoter means Olanka Travels Pty Ltd (ABN [65 600 102 289]) and its related bodies corporate.
Promotion means the Olanka Cashback Promotion described in these Terms.
Registration Period means 16 November 2025 – 24 November 2025 (inclusive), during which participants may register to receive a Promo Code.
Tour Component means tour services supplied by the Promoter; it excludes flights, airline taxes, carrier charges and other Excluded Charges.
Travel Period means travel that commences on or before 16 November 2026.
2. Promotion Overview
2.1 The Promotion offers up to $300 (AUD) Cashback on Eligible Bookings made during the Booking Window, for travel within the Travel Period.
2.2 Cashback is applied as a discount to the final tour invoice for the Tour Component only and is NOT redeemable for cash or credit.
3. Eligibility
3.1 Participation is open worldwide to Eligible Travellers who either:
a) attend the Participating Event, or
b) participate via the Promoter's official online activation (including WhatsApp registration per clause 4).
3.2 Personal/leisure travel only. Corporate or incentive bookings are excluded unless approved in writing.
3.3 Employees, contractors and agents of the Promoter (and their immediate families) are ineligible.
3.4 Participation constitutes acceptance of these Terms.
4. Registration and Promo Codes (Website and WhatsApp)
4.1 To participate, an Eligible Traveller must register during the Registration Period (ending 24 November 2025) to receive a Promo Code.
4.2 Registration channels:
a) WhatsApp: scan the QR code and follow the prompts to provide your details and consent to receive messages from the Promoter; or
b) Website: visit www.olankatravels.com.au/cashback and complete the form.
4.3 One (1) Promo Code per booking. Codes are non-transferable, cannot be sold or exchanged and cannot be combined with any other offer unless authorised in writing by the Promoter.
4.4 The Promoter may limit the number of Promo Codes issued and may cancel any compromised codes.
5. How to Claim
5.1 Make an Eligible Booking within the Booking Window and provide a valid Promo Code at the time of booking or before final payment is processed.
5.2 The Promo Code must be successfully validated by the Promoter before the Cashback is applied.
5.3 Bookings must be made via the Promoter's Australian channels (website or direct with Olanka Travels Australia).
6. Cashback Tiers and Application
6.1 Cashback tiers (AUD) :
a) $200 for bookings where the Tour Component total is ≤ $2,000;
b) $300 for bookings where the Tour Component total is > $2,000;
6.2 Cashback applies only to the Tour Component and excludes all Excluded Charges.
6.3 Cashback is applied as a discountto the final tour invoice prior to final payment.
6.4 The offer is not redeemable for cash or credit and no change or credit will be given.
6.5 If the Tour Component price changes changes before final payment, the applicable Cashback tier will be re-assessed against the then-current Tour Component total. No retroactive adjustments apply to bookings already fully paid.
7. Exclusions and Limitations
7.1 Cashback does not apply to flights, airline taxes, carrier charges or other Excluded Charges.
7.2 The Promotion is available only for tour bookings supplied by the Promoter and is void where prohibited.
7.3 The Promotion may not be used to purchase gift cards, credits or other non-tour items.
8. Cancellations, Changes and Refunds
8.1 Cancellations, amendments and refunds are subject to the Promoter's Standard refunds are subject to the Promoter's Standard Cancellation Policy (https://www.olankatravels.com.au/cancellation-policy).
8.2 If an Eligible Booking is cancelled, the Cashback is forfeited and will not be paid in cash or credit.
8.3 If a booking is changed such that it no longer satisfies these Terms, the Cashback may be reduced or invalidated.
9. Digital Channels (including WhatsApp)
9.1 By registering via WhatsApp, you consent to receiving WhatsApp messages (and, if provided, email/SMS) from the Promoter to administer the Promotion and send promotional updates, consistent with clause 12.
9.2 You can opt out of marketing messages at any time using the unsubscribe/opt-out provided in messages or by contacting the Promoter.
9.3 WhatsApp is provided by a third party. Use of WhatsApp is subject to that provider's terms and privacy practices. Data and message charges (if any) are your responsibility.
10. Verification and Fraud
10.1 The Promoter may request reasonable documentation to verify eligibility, registration, identity and compliance with these Terms.
10.2 The Promoter may invalidate any claim or Promo Code, orcancel any booking that is the subject of actual or suspected fraud, abuse or error, acting reasonably.
11. Changes, Suspension or Termination
11.1 The Promoter may amend these Terms, suspend or withdraw the Promotion at any time prospectively by publishing an updated notice (with effective date).
11.2 Any change will not affect Promo Codes already applied to fully paid bookings, and reasonable endeavours will be used to honour validated bookings made prior to the effective date of change.
12. Privacy and Marketing Communications
12.1 By participating, you consent to the Promoter collecting, using and disclosing your personal information to administer the Promotion and for marketing purposes in accordance with its Privacy Policy( https://www.olankatravels.com.au/privacy).
12.2 Marketing communications will comply with the Spam Act 2003 (Cth) and include a functional unsubscribe facility. You may opt out at any time.
13. Publicity Release (Event and Stall Visits)
13.1 Participation constitutes consent to the use of photographs, film and audio recordingstaken during the Participating Event or at the Promoter's stall for the Promoter's marketing and promotional purposes (in any media), without further promotional purposes (in any media), without further notice or payment, unless you notify the Promoter otherwise in writing.
14. Force Majeure
14.1 No liability for Force Majeure: The Promoter is not responsible for any failure or delay in performing any obligation under these Terms or in delivering any tour service where that failure or delay is caused by a Force Majeure Event.
14.2 Operational responses: Where a Force Majeure Event occurs, the Promoter may (acting reasonably) modify the itinerary, substitute services, defer or reschedule all or part of the tour, or cancel affected services. The Promoter will use reasonable endeavours to notify affected travellers and to offer re-booking options, credits or refunds to the extent available under the Standard Cancellation Policy, supplier terms and Standard Cancellation Policy, supplier terms and applicable law.
14.3 Costs and credits: Additional costs arising from a Force Majeure Event (including, without limitation, accommodation, meals, transport, visa changes or insurance excesses) are the responsibility of the traveller, except to the extent the Promoter expressly agrees otherwise or such costs are required to be borne by the Promoter under theAustralian Consumer Law. Any credits offered will specify expiry dates and conditions.
14.4 Suspension and termination: The Promoter's affected obligations are suspended for the duration of the Force Majeure Event. If the Force Majeure Event continues for30 days or more and materially affects the booking, either party may terminate the affected services on written notice. Any refunds or credits will be processed in line with clause 14.2 and the Standard Cancellation Policy.
14.5 Mitigation: Each party must use reasonable endeavours to mitigate the impact of a Force Majeure Event on performance.
14.6 ACL preserved: Nothing in this clause 14 limits any non-excludable rights under the Australian Consumer Law.
15. Liability
15.1 Nothing in these Terms limits any rights or remedies under the Australian Consumer Law that cannot lawfully be excluded.
15.2 Subject to clause 15.1 (and clause 14), and to the extent permitted by law, the Promoter is not liable for any loss, damage or delay (including due to events beyond its reasonable control), except to the extent caused by the Promoter's negligence, fraud or wilful misconduct.
15.3 To the extent permitted by law, the Promoter's aggregate liability arising in connection with the Promotion will not exceed the value of the Cashback applicable to the relevant Eligible Booking.
16. General
16.1 These Terms form the entire agreement between the Promoter and each participant in relation to the Promotion.
16.2 If any provision is held invalid or unenforceable, it will be read down or severed, and the remaining provisions will continue in full force.
16.3 Failure by the Promoter to enforce any right or term is not a waiver.
17. Governing Law
These Terms are governed by the laws of Victoria, Australia, and the parties submit to the non-exclusive Australia, and the parties submit to the non-exclusive jurisdiction of the courts of Victoria and the Commonwealth of Australia.
